Terms of Use

1. Service Provider Identification
Expedait ("Service") is a product documentation platform operated by:
- Expedait BV (in oprichting)
- Belgium
- Email: legal@expedait.org
Expedait BV is currently a company in formation (besloten vennootschap in oprichting / société à responsabilité limitée en formation). An enterprise number and VAT number will be published here upon registration with the Crossroads Bank for Enterprises (BCE/KBO). Until formal incorporation, the founders act in their personal capacity and are personally liable for obligations arising from this Service.
This disclosure is provided in accordance with Book III, Article III.74 and Book XII of the Belgian Code of Economic Law (CEL).
2. Description of the Service
Expedait is a B2B software-as-a-service (SaaS) platform that helps product teams create, manage, and maintain consistent product documentation. Key features include:
- Structured document templates with dependency tracking between pages
- AI-powered coaching and quality scoring via third-party LLM providers
- Version control, approval workflows, and audit trails
- Multi-tenant workspaces with role-based access control
The Service is provided as a cloud-hosted platform accessible via web browser. No software installation is required.
3. Acceptance of Terms
By creating an account or using the Service, you agree to be bound by these Terms of Use ("Terms"). If you do not agree, you may not use the Service. These Terms constitute the entire agreement between you and Expedait regarding use of the Service.
If you are entering into these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind that entity.
4. Account Registration & Responsibilities
To use Expedait, you must create an account with a valid email address. You are responsible for:
- Maintaining the confidentiality of your login credentials
- All activities that occur under your account
- Notifying us promptly of any unauthorized use of your account
- Providing accurate and up-to-date information
We reserve the right to suspend or terminate accounts that violate these Terms, subject to reasonable prior notice unless immediate action is required to prevent harm or comply with legal obligations.
5. Pricing & Payment
Expedait is currently offered free of charge during the design partner phase. When paid plans are introduced, we will provide at least 30 days' notice of pricing, billing terms, and any changes. Pricing changes will not apply retroactively to existing billing periods.
6. Intellectual Property
Platform ownership: The Service, including its source code, design, logos, and documentation, is owned by Expedait BV (in oprichting). All rights not expressly granted in these Terms are reserved.
Your content: You retain full ownership of all content you create within the platform, including pages, documents, chat messages, and uploaded files. By using the Service, you grant Expedait a limited, non-exclusive licence to process your content solely to provide and improve the Service (e.g., storing data, generating AI responses, computing quality scores). This licence terminates when you delete your content or your account.
7. User Content & AI Features
Expedait integrates AI-powered features including page coaching, quality scoring, and chat assistance. When you use these features:
- Your page content, chat messages, and page type requirements are sent to third-party LLM providers (Anthropic, OpenAI, or Google, depending on your workspace configuration) for processing
- These providers process your data under their respective API data usage policies and do not use API inputs for model training
- AI-generated responses are provided as guidance only and should not be treated as professional, legal, or financial advice
- You are responsible for reviewing and validating any AI-generated content before use
- We do not guarantee the accuracy, completeness, or suitability of AI outputs

8. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable laws
- Attempt to gain unauthorized access to other accounts, systems, or networks
- Upload malicious code, viruses, or any harmful content
- Interfere with or disrupt the Service or its infrastructure
- Use the Service to transmit spam, phishing, or unsolicited communications
- Reverse-engineer, decompile, or disassemble any part of the Service, except to the extent permitted by applicable law (including Belgian CEL Book XI on software reverse-engineering)
- Resell or redistribute the Service without prior written consent
9. Service Availability & Support
We strive to keep Expedait available and reliable, but we do not guarantee uninterrupted or error-free service. We may perform maintenance, updates, or modifications that temporarily affect availability. We will notify users of planned downtime when reasonably possible.
We do not currently offer a Service Level Agreement (SLA). Support is provided on a best-effort basis via email at support@expedait.org.
10. Limitation of Liability
To the maximum extent permitted by applicable law, including the Belgian Code of Economic Law:
- Expedait shall not be liable for any indirect, incidental, special, or consequential damages, including loss of data, revenue, profits, or business opportunities
- Our total aggregate liability for any claim arising from or related to the Service shall not exceed the total amount you paid for the Service in the 12 months preceding the claim, or €100, whichever is greater
These limitations apply to both parties equally and do not exclude or limit liability for:
- Fraud or wilful misconduct (opzettelijke fout / faute intentionnelle)
- Death or personal injury caused by negligence
- Any liability that cannot be excluded or limited under mandatory Belgian or EU law
This clause is drafted in accordance with the B2B unfair terms provisions of Belgian CEL Articles VI.91/1–VI.91/10 and applies proportionate limitations to both parties.
11. Termination
By you: You may stop using the Service at any time. Workspace owners can deactivate their workspace through Settings, which will remove access for all workspace members.
By us: We may suspend or terminate your access if you materially violate these Terms. Except where immediate action is required (e.g., security incidents, legal obligations), we will provide at least 14 days' written notice and an opportunity to remedy the breach before termination.
Upon termination:
- Your right to access the Service ceases at the end of the notice period
- You may request an export of your data within 30 days of termination (see our GDPR & Data Processing page)
- After 30 days, we may permanently delete your data
12. Changes to Terms
We may modify these Terms to reflect changes in the Service, applicable law, or business practices. We will notify you of material changes at least 30 days in advance via email or through the Service. If you do not agree with the revised Terms, you may terminate your account before they take effect.
Non-material changes (e.g., formatting, clarifications) may take effect immediately upon publication.
13. Complaint Handling
If you have a complaint about the Service, please contact us at legal@expedait.org. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.
If we cannot resolve your complaint to your satisfaction, you may submit a dispute to the competent Belgian courts (see Section 14) or, for cross-border disputes within the EU, use the European Commission's Online Dispute Resolution platform.
14. Governing Law & Jurisdiction
These Terms are governed by and construed in accordance with Belgian law, including the Belgian Code of Economic Law. Any disputes arising from or related to these Terms or the Service shall be submitted to the exclusive jurisdiction of the competent courts of Belgium.
This choice of law does not deprive you of the protection afforded by mandatory provisions of the law of your country of habitual residence, where such protections cannot be derogated from by agreement (in accordance with Regulation (EC) No 593/2008 -Rome I).
15. Severability
If any provision of these Terms is found to be invalid or unenforceable under applicable law (including the Belgian B2B unfair terms provisions of CEL Articles VI.91/1–VI.91/10), that provision shall be deemed modified to the minimum extent necessary to make it valid and enforceable, and the remaining provisions shall continue in full force and effect.
